School just ended. Everyone is tired. The last thing anyone wants to think about right now is booster club season.
That's completely fair — and you should take a real break. But there's a reason the booster clubs who feel calm and organized in September all have one thing in common: they didn't wait until August to start thinking about fall.
You don't need to work all summer. You need one focused hour, at the right time, on the right things.
The gap between a smooth fall and a stressful one
Picture two clubs with the same budget, the same volunteer base, and the same fall competition schedule.
Club A starts planning in September, once school is back in session. Club B spends a single afternoon in July getting the basics in place.
By October, Club A is scrambling — chasing volunteers, finalizing a venue two weeks before the event, and figuring out sponsor asks on the fly. Club B already has its venue booked, its volunteer list built, and its sponsors confirmed. They're executing a plan instead of building one under pressure.
Same community. Same resources. The only difference is when they started.
Three things worth doing this month
You don't need a full strategic plan. Just three focused tasks, done now while there's no pressure:
• Clean up your member roster. Remove graduated students, add incoming families, and confirm contact info while you have time to do it properly.
• Document what happened this year. Write down what worked, what didn't, and what the next leadership team needs to know — while it's still fresh.
• Set your fall fundraiser's goal and owner. You don't need the full plan yet. You just need a dollar amount and one person's name attached to it.
Each of these takes under an hour. Together, they're the difference between a September that feels manageable and one that feels like catching up from day one.
If you're stepping into a new role this year
If you're one of the volunteers stepping into a leadership role for the first time this fall — welcome. The learning curve is real, and every single person who's held your role before you felt exactly as unprepared as you might feel right now.
The best thing you can do in your first few weeks is simple: get everything from the outgoing officer in writing, not just in conversation. Passwords, vendor contacts, financial records, open commitments — if it's not written down, it doesn't really transfer.
Your club's institutional knowledge shouldn't live in one person's head — or one person's binder. It should be organized, accessible, and ready to hand off cleanly, every single year.
A little structure goes a long way
None of this requires new tools or a complicated system. A shared document, a clear checklist, and one afternoon in July is enough to change how your entire fall feels.
